Administrative Assistant - Part Time Permanent

Start Date: Immediate

Status: Permanent, part-time

Compensation: $17.20/hour

Hours per week: 10-15 hours per week

 

Oulahen Team Realty Inc., Brokerage has an exciting opportunity for a part-time Administrative Assistant to join our family-owned real estate business in the Yonge and Sheppard area. Become part of our growing team!

We are looking for a well-organized, detailed oriented, outgoing team member to perform and manage an array of responsibilities including organizing all aspects of the real estate listing process, maintaining a client database and providing excellent customer service. Must possess the ability to handle a variety of tasks in a fast-paced environment with strong attention to detail. Exciting opportunity to learn all facets of a real estate office.

Primary duties:

  • General reception duties such as: answer incoming phone calls, provide timely response to emails and greet visitors in a friendly and professional manner
  • Plan routes, book appointments, and create booklets for showings
  • Prepare offer and listing paperwork
  • Conduct research and collect data to produce market evaluation reports
  • Maintain electronic and physical filing systems
  • Create receipts for bank drafts, keys, etc. for clients and Realtors
  • Assist with printing and preparing feature sheets and other marketing materials for properties

  

Qualifications and skills include:

  • Minimum 1 year of office administrative experience  
  • Proven experience in client relations and administration  
  • Proficient in Windows OS and Microsoft Excel, Word, and Publisher software 
  • Proficient knowledge and experience with Google G Suite
  • Must have excellent verbal and written English skills 
  • Must have strong organizational skills and a keen eye for detail   
  • Strong proofreading and editing abilities 
  • Self-motivated with aptitude for problem solving and ability to assess, prioritize and act quickly 
  • Enthusiastic, trustworthy, accountable team player
  • Must have ability to thrive in a fast-paced office environment
  • Must be able to work both collaboratively and independently, to meet deadlines on multiple projects  
  • Previous real estate experience is an asset
  • Ability to speak multiple languages is an asset
  • Experience with Adobe Photoshop, InDesign, and Illustrator is an asset
